EU Machinery Regulation 2027: What It Means for Your Technical Translations

Starting January 20, 2027, Regulation (EU) 2023/1230 fully replaces the old Machinery Directive (2006/42/EC).

While the new regulation introduces much-needed modernization around digital documentation, AI, and cybersecurity, it also elevates the legal weight of translated user manuals and technical safety documents.

Key translation & localisation changes

1. No more "Translation of original instructions"

Under the old directive, non-source manuals were often flagged as secondary copies. The new Regulation drops this distinction entirely. Every localized manual now carries equal legal status—meaning a translation error carries the exact same liability risks as a mistake in your source text.

2. Digital-first manuals (with specific rules)

For the first time, user manuals may be delivered in digital form instead of paper (e.g., via QR code or website download). However, this comes with new translation responsibilities:

Paper on demand: If an end-user requests a paper version at purchase, it must be provided free of charge in their required language within 1 month.
10-year online retention: Translated digital manuals must remain hosted, updated, and accessible for at least 10 years after the machine is placed on the market.
Physical safety information: If the machine is intended for, or likely to be used by, non-professional users, the safety information needed to put it into service and use it safely must still be on paper in the target language.

3. Expanded scope: AI, software & cybersecurity

As machines become more connected, technical documentation must now cover:

Risk assessments for autonomous software and self-learning systems.
Written safety procedures for cybersecurity updates and network connectivity.
HMIs and displays must present information clearly and unambiguously, in the required language(s), without overloading the operator.

4. Declarations of conformity & member state matrix

Language rules remain governed at the national level. Technical documentation must be kept up-to-date and translated into the official languages mandated by every target EU member state where the machinery is deployed.

To prevent last-minute bottlenecks before the January 2027 enforcement date:

Close the gaps in your QA: Check that the quality controls you already use cover every translated manual as thoroughly as the source text so your translated instructions withstand equal legal scrutiny in court or during compliance audits
Audit your templates: Remove outdated "Translation of original instructions" disclaimers from layouts.
Prepare delivery workflows: Establish a scalable process to separate full digital manuals from physical, paper-based essential safety summaries.
Review version control: Ensure your CMS can trace document updates and keep online multilingual manuals synchronized for 10+ years.
